Bookkeeping Terms & Conditions
These Terms & Conditions govern the bookkeeping services provided by Finstravi.
1. Bookkeeping Services
Finstravi provides bookkeeping services to accurately record, categorize, and reconcile your financial transactions within identified transaction accounts such as bank and credit card accounts.
Bookkeeping services are limited to the scope of the selected bookkeeping package. Services outside the selected package may be quoted separately.
2. Monthly Transaction-Based Pricing
Bookkeeping pricing is based on the number of bookkeeping transactions processed during each monthly service period.
A transaction generally includes any financial activity requiring bookkeeping, including bank transactions (including payroll entries), credit card transactions, bill payments, customer payments, deposits, limited journal entries, and similar bookkeeping activity.
| Published Tier | Transaction Range | Billing Begins At |
|---|---|---|
| 0–75 | 0–75 Transactions | 80 Transactions |
| 76–150 | 76–150 Transactions | 158 Transactions |
| 151–300 | 151–300 Transactions | 316 Transactions |
| 301+ | Per Pricing Schedule | 5% Grace Applied |
For example, a client in the 0–75 transaction tier may process up to 79 transactions during a month and remain in the same pricing tier. Beginning with the 80th transaction, the account moves to the next pricing tier for that month's billing.
Likewise, if your transaction volume decreases, your monthly bookkeeping fee will automatically adjust downward to the appropriate tier.
3. Monthly Pricing
Bookkeeping fees are calculated monthly based on the actual transaction volume processed during that month.
This floating pricing structure allows your bookkeeping investment to grow or shrink with your business while avoiding unnecessary billing changes caused by minor fluctuations in activity.
4. Nearshore Service Delivery
Finstravi may utilize qualified bookkeeping professionals located outside the United States.
For purposes of these Terms & Conditions, Nearshore means bookkeeping services are performed by qualified professionals located in Mexico or Canada.
All nearshore personnel operate under Finstravi's management, quality standards, confidentiality requirements, and security procedures. Finstravi remains fully responsible for the quality, accuracy, and delivery of all bookkeeping services.
5. Client Responsibilities
- Provide complete and accurate financial information.
- Provide timely access to bookkeeping software, banking institutions, and supporting documentation.
- Respond promptly to requests for additional information or clarification.
- Review completed financial reports and notify Finstravi of any discrepancies.
- Understand that delays in providing requested information may delay completion of monthly bookkeeping.
6. Services Not Included
Unless specifically included in your selected bookkeeping package, the following services are not included:
- Historical bookkeeping cleanup
- Catch-up bookkeeping
- Payroll processing or payroll setup
- Sales tax filings
- Income tax preparation
- Audit support
- Financial planning or forecasting
- Controller or CFO services
- Accounting software conversions
Additional services may be quoted separately upon request.
7. Term, Renewal & Cancellation
Your bookkeeping agreement begins on the Effective Date of the first monthly charge and remains in effect for an initial term of twelve (12) months.
Unless either party provides written notice of non-renewal at least thirty (30) days before the end of the current term, the agreement will automatically renew for successive twelve (12) month renewal terms under Finstravi's then-current pricing, Terms & Conditions, and service offerings.
The client may cancel the initial agreement within the first thirty (30) days after the Effective Date for any reason without an early termination fee. The client remains responsible for payment of all bookkeeping services performed through the effective cancellation date.
After the initial 30-day cancellation period has expired, the client may terminate the agreement at any time by providing written notice. Early termination before the end of the current contract term or any renewal term will result in an early termination fee equal to 50% of the remaining contract value for the balance of the current term. The monthly amount used in the calculation of the termination fee is equal to the average charges over the prior 12 months- or number of months if less than 12 months.
Cancellation becomes effective upon written confirmation from Finstravi and does not relieve the client of any outstanding payment obligations incurred prior to the effective cancellation date.
8. Billing
Invoices are issued monthly and are due according to the payment terms contained in your engagement agreement. Finstravi reserves the right to suspend services for materially past-due accounts.
9. Confidentiality
Finstravi treats all client information as confidential and maintains commercially reasonable administrative, technical, and physical safeguards to protect financial information. Client information is shared only as necessary to perform bookkeeping services or as required by law.
10. Professional Services
Finstravi provides bookkeeping services only under these Terms & Conditions. Unless separately engaged, Finstravi does not provide tax preparation, auditing, legal services, investment advice, financial planning, outsourced controller services, or outsourced CFO services.
11. Changes to Pricing
Finstravi may update its published bookkeeping pricing schedule from time to time. Existing clients will receive reasonable advance notice of any changes to published pricing.
Monthly pricing adjustments resulting solely from changes in transaction volume are governed by these Terms & Conditions and do not constitute a pricing increase.
12. Acceptance
By engaging Finstravi for bookkeeping services, the client acknowledges that they have read, understood, and agree to these Terms & Conditions.
